What is Invoices to Spreadsheets?
Invoices to Spreadsheets is an invoice-to-spreadsheet workspace for businesses that receive large numbers of supplier invoices. You upload PDFs, scans and photographs of invoices; it reads the invoice details and the readable line items and places them in an editable, spreadsheet-style table. Invoices are organised into projects — a property, a construction job, a client or a month — and every value can be checked against the original document, corrected, searched and filtered. The data exports to Excel (.xlsx) and CSV.
It is designed for people who want the information inside their invoices to become usable spreadsheet data. It is not accounting software and it is not intended to replace a ledger or an ERP.
In one sentence: upload your invoices, get a clean table of every supplier, purchase, VAT amount and total, and export it to Excel.
What information can Invoices to Spreadsheets extract from an invoice?
Depending on what the document contains, it extracts:
- supplier name
- invoice number
- invoice date
- due date
- currency
- subtotal (net amount)
- VAT or other tax, and the printed tax rate
- total
- line-item descriptions
- quantities and unit prices
- line-item tax and line totals
- a category (materials, labour, plant hire, professional services, utilities or other)
- any custom fields you define for a project, such as a job reference or cost code
It does not invent missing values. A figure that is absent from the page is left blank; a value that could not be read reliably, or that does not add up, is flagged for review with the original invoice one click away.
Can Invoices to Spreadsheets process multiple invoices at once?
Yes. Drag and drop a whole batch of files into a project. Documents are processed independently and completed invoices appear in the table as they finish; one failed document does not stop the rest of the batch.
Can Invoices to Spreadsheets convert multiple invoices into one Excel file?
Yes. A project exports as one workbook: an Invoices sheet with one row per invoice and a Line items sheet with every purchased product or service linked to the invoice it came from. CSV is available for both.
Can Invoices to Spreadsheets extract invoice line items?
Yes, where the document contains readable line-item information: descriptions, quantities, unit prices, tax and line totals, each kept with its invoice.
Does Invoices to Spreadsheets work with scanned or photographed invoices?
Yes. It processes digital PDFs and image-based invoices such as scans and phone photos, including rotated pages. Poor-quality or ambiguous documents are marked for review rather than guessed.
Is Invoices to Spreadsheets accounting software?
No. It is not accounting software. It focuses on turning invoice documents into organised, editable data. Businesses that need a general ledger, bank reconciliation, payroll, tax filing or a full accounts-payable workflow keep using their accounting software — and can hand it the exported spreadsheet.
Who is Invoices to Spreadsheets designed for?
- property developers tracking development costs
- builders and contractors tracking material invoices by job
- landlords organising property expenses
- bookkeepers and accountants converting client invoice folders into structured data
- solicitors and small businesses that currently type invoice data into Excel
There is a page for each of these: Builders & trades, Property developers, Bookkeepers, Landlords, Accountants, Solicitors & legal practices, Small businesses.
How is it different from bookkeeping software such as Dext or AutoEntry?
Bookkeeping products move financial documents into accounting workflows. Invoices to Spreadsheets is built around a different primary workflow: upload invoices → inspect the structured data → search, filter and edit → export a spreadsheet. Businesses whose main aim is to feed an accounting system may prefer those products; businesses whose main aim is a searchable spreadsheet of their invoices and project costs may prefer this one. Many use it alongside their accountant.
