How to Extract Invoice Line Items to Excel

Invoice totals tell you what you paid. Line items tell you what you bought. If you want to compare unit prices between suppliers, find every invoice that includes a particular material, or split a project’s cost by category, you need the line items in a spreadsheet — one row per item, not one row per invoice.
What a line-item row should contain
- the invoice it came from (supplier and invoice number)
- description, exactly as printed
- quantity and unit
- unit price
- tax rate or tax amount where the invoice prints it
- line total
Method 1: copy from the PDF
Selecting the table in a PDF and pasting into Excel works for one clean digital invoice and fails for the rest: columns merge, wrapped descriptions split across rows, and scanned invoices have no text to select at all.
Method 2: generic OCR
OCR gives you the words but not the structure. You still have to decide which word is a quantity and which is a price, and a long invoice takes as long to tidy as it would to type.
Method 3: invoice extraction software
Purpose-built tools read the invoice as an invoice: header fields into one table, each printed line into a line-item table linked to its invoice. Two things separate the good ones. First, they check the arithmetic (line items should sum to the subtotal) and flag what does not add up. Second, they let you correct a value beside the original document rather than in a detached spreadsheet.

Getting the table into Excel
Export two sheets: Invoices and Line Items, joined by the invoice number. A pivot table on the Line Items sheet then answers the questions that matter — spend by description, average unit price by supplier, quantities by month.
Do all invoices have line items?
No. Some invoices print a single total with a short description. A good tool extracts what is printed and leaves the line-item table empty rather than inventing rows.
Can line items be extracted from scanned invoices?
Yes, when the extraction reads the image rather than embedded text. Faint or skewed scans reduce accuracy, which is why side-by-side review matters.
