How to choose in one minute
- Many suppliers, many layouts: pick an AI tool with no templates, or you will spend your first week configuring one parser per vendor.
- Scans and phone photos: you need OCR. That rules out the free table-extraction tools, which only read digital PDFs.
- You need line items, not just totals: check which tier includes them. Several tools price line-item extraction above the entry plan.
- A one-off backlog: a monthly plan you cancel afterwards usually beats a credit bundle.
- The data has to reach your ledger: buy a capture tool built for that, not a spreadsheet tool.

What is the best tool to convert a bunch of invoices to a spreadsheet?

Can I convert invoices to Excel for free?
For digital PDFs that already contain real tables, Tabula is free and open source, but it has no OCR, so scans and phone photos are out. Invoice Scraper has a free monthly page allowance that renews. Most other AI tools, ours included, offer a free trial rather than a permanent free plan; our own free single-invoice converter needs no account.
Do these tools extract line items or just invoice totals?
All of the AI tools listed can read line items, but several price them as a higher tier or a separate model. Check that before you compare headline prices: a plan that only captures header fields will not give you a spreadsheet of what was actually bought.
How many invoices can I process at once?
Batch size is usually limited by your plan's monthly document or page allowance rather than by a per-upload cap. For a one-off backlog of a few hundred invoices, a monthly plan you cancel afterwards is normally cheaper than a credit bundle.
Why not just ask ChatGPT or Claude to do it?
For one invoice, or a handful now and then, you should — it works, and our own free single-invoice converter exists for exactly that. It stops scaling at a folder. Thirty invoices means thirty prompts and thirty copy-pastes, and the columns you get back drift between them, so the spreadsheet needs reconciling by hand. The bigger problem is silent error: asked for a due date an assistant will often produce a plausible one, and 60% of real invoices do not print a due date at all; ask for line-item totals and roughly one row in eight is tax-inclusive while the rest are not, so the column sums to a figure that is wrong by a few percent with nothing to indicate it. What a dedicated tool adds is not better reading, it is the same columns every time, a tax basis recorded beside every amount, the original page next to the figure so you can check it, and a flag on what was not printed instead of a confident guess.
When is Invoices to Spreadsheets not the right choice?
If you need the data posted into Xero, QuickBooks or Sage as ledger entries, Dext or AutoEntry are built for that and we are not — we produce a spreadsheet, not bookkeeping. If you need an enterprise AP workflow with approval chains and an audit trail, Rossum or Nanonets are the right shape. If you are a developer who wants an API to embed, Affinda is a better starting point. And we are new: these competitors have years of production history that we do not have yet.
