How to Turn Hundreds of PDF Invoices Into One Spreadsheet

A year-end folder, a project reconciliation, a client hand-over: at some point the invoices you have been filing need to become one table. At ten invoices you type them. At a hundred you need a batch process, and at several hundred you need one that lets you review as you go.
Organise before you process
Decide the unit you will report on — a project, a property, a client, a quarter — and split the invoices into those groups first. It is far easier to sort files into folders than to re-label hundreds of rows afterwards.
Process in batches, not one at a time
Upload each group as a batch. Each document should process independently so that a duplicate, a corrupt PDF or a photo of a receipt does not block the rest. Duplicates are common in large folders; a tool that spots the same invoice number and total twice saves an awkward reconciliation later.
Review the exceptions, not everything
You do not need to check three hundred invoices by eye. Check the ones the arithmetic flags (subtotal, tax and total that do not agree; line items that do not sum), the ones with missing invoice numbers or dates, and a sample of the rest. Correct in place, beside the original.
Keep it as a workspace, not a file
Once the invoices are a table, the useful work starts: search for a supplier, group by month, filter to one material, total the VAT. A spreadsheet export is the output; the searchable, editable table is where the questions get answered.
