How to Convert Scanned Invoices to Excel

A scanned invoice, or a photo of one taken on site, is a picture. Nothing in it can be copied. Converting it to Excel means reading the image, recognising which parts are the supplier, the numbers and the line items, and then checking the result — because scans are where extraction most often goes wrong.

Why scans are harder than digital PDFs

A digital PDF carries its own text. A scan carries pixels, so every character has to be recognised, and skew, shadows, creases, faint thermal print and handwritten annotations all reduce accuracy. Totals are the most expensive place to get a digit wrong.

What good extraction does with a scan

• reads the image directly rather than relying on embedded text
• extracts the same fields as for a digital invoice: supplier, invoice number, dates, subtotal, tax, total and line items
• checks the arithmetic, so a misread digit in the total is flagged rather than silently exported
• shows the scan beside the extracted values so you can correct in seconds

Getting better scans

• flat, evenly lit, the whole page in frame
• one invoice per file where possible; multi-page invoices as one file
• PDF or PNG/JPEG straight from the scanner or phone — avoid re-screenshotting
• keep the original file; you will want it beside the data
