How to Convert Multiple PDF Invoices Into One Excel Spreadsheet

If you have a folder containing dozens or hundreds of invoices, opening each PDF and typing supplier names, invoice numbers, dates, VAT and totals into Excel is the wrong workflow. Extract the information in bulk and build one standardised dataset instead.
The spreadsheet structure that works
Do not try to squeeze an entire invoice into one row. Use two linked tables: one row per invoice, and one row per purchased item.

Instead of only knowing that one invoice cost £384, you can search every invoice for timber, group spend by supplier or compare unit prices over time.
Step 1: collect the invoices
Gather the PDFs, scans and photographs in one place. If they belong to different jobs or properties, separate them into projects before processing.
Step 2: upload the batch

- invoice number

Extraction is not correct merely because a model produced a value. Two checks catch most errors: subtotal + tax ≈ total, and sum of line items ≈ subtotal. Questionable fields should be flagged for review rather than silently accepted.
